Tenant Login

XPLANY supports multiple tenants. Each tenant is a completely independent set of data, including inputs and roster outputs. Changing data for one tenant does not affect other tenants.
You can create a tenant at any time from the registration form.

To register a new account on XPLANY, you can insert your data on this page:

 

  • Email

  • First name

  • Last name

  • Company alias

  • Password

  • Language (between English, Italian and Spanish)

  • Acceptance of terms and conditions

  • reCAPTCHA

  • Click «Register»

You will receive an email to complete the account sign-up, by confirming the e-mail.
Then you will be able to log into the platform from login page.

 

To login to the platform from this page:

  1. Fill Email and Password fields

  2. Choose the language (between English, Italian and Spanish)

  3. Click «Login»

Tenant Dashboard

On dashboard you will see some statistics concerning data that are managed on the platform, counters and graphs based on shift progress.

On the header you can see info about user data, date of join, role, details of permissions (clicking on “show” button), date of first draft.

Then, you can view counters and graphs of a specific day (that you can choose from search bar) and in this way it’s possible to see data about total hours considered for each spot, number of employees, shifts and unassigned shifts:

Moreover on the top of the page you can see:

 

  • dropdown menu to change language between English, Italian and Spanish

  • icon bell to show notifications

  • dropdown menu to see:

    • Profile info

    • Change password

    • Terms & Conditions (that users have to accept to use the software)

    • Report a Bug

    • Give us a feedback

    • Logout

From “My profile” section you can view user profile info: account id, role, avatar, email, first and last name

 

Clicking on “Change password” you can insert your old password and the new one.

If you have some issues with the platform, you can click on Report a bug to open a ticket to our support team, inserting your login credentials or Give us a feedback about the software

 

If you click on logout you exit from the platform, by returning to login page

 

 

 

 

 

User Login

The planner, from Admin Section can create users with relative role (click here to see documentation about it). So an employee will be invited to access the platform with his or her own account.

Firstly he/she will receive a welcome e-mail to complete the account:

He/she will choose a password to access the platform:

 

 

He/she can will be able to login, from this page using IAM user (or clicking on «Sign-in using IAM user account credentials») and fill the form (Account Id is ID of the tenant created by admin):

 

User SSO Login with XCALLY credentials

As user/employee it’s possible to login into XPLANY with your XCALLY credentials by clicking on Sign-in using IAM user account credentials → Sign-in with XCALLY

 

 

So you have to insert Account Id/Alias (ID of the tenant or Alias created by admin) with username and password used on XCALLY and click on Login button.

User Dashboard

When a user logins into the platform with IAM credentials, he/she will see Dashboard with a calendar of his/her work shifts already assigned:

 

License information

On this section it’s possible to see info about your license:

  • End license date

  • Status (like enabled, trial…)

  • Maximum number of activable employees that you can create with your license type (if for example you have a limit of 20, you can create a 21° but it can not be active)

  • Number of active employees

 

The system considers this maximum limit of employees that you can upload both when creating the employees list and during assignment of shifts.

Consider that if you have 100 employees and you require having 50, the alghoritm will consider 50 employees (and it takes into account the first 50 created active)

Demo Data to new account

When a user registers a new tenant, a popup appears by asking if he wants to populate tenant with demo data (employees, spots, skills, shifts..) to try the software

If user confirms it, the operation will add some demo data to the tenant

The system will ask you only once if you wish to populate tenant with demo data. Then you will be able to see the option in your profile.

In fact, from profile section you will see these two buttons

  • Add demo data

  • Remove demo data

 

 When the user press the button to Delete demo data, the operation will delete all the demo data.

 

Api Key

Moreover in the user profile section, you can see a box to manage Api key

When you click on Generate api key, you will see this visualisation:

So you can show your Api key by clicking on eye icon, copy it in clipboard, by clicking on the relative icon, remove the api key or generate a new one.
