Rotations

XPLANY supports a rotation pattern for shifts and employees. The rotation system is very useful in cases where, for example, a call center, by company policy, stipulates that, for example, an employee who works on Monday, must have Monday off the following week.

  1. So you can choose spot you intend to work on and click on “Add rotation”, entering time slot in which rotation is to be organised.

2. Now you can see slots you have created (7 if the draft has 7 days) and go on to assign them to the various employees, clicking on each “Unassigned”.

3. From ”Select employee”, you can see the list of employees you can choose from (filter for required skills by the selected spot)

 

  1. Saving the choice, you will see green blocks for slots that have been assigned to relative employees:

So in this case you have inserted Edoardo Rosso on Monday shift, Alberto Verdi on Tuesday shift, Giuseppe Verdi on Wednesday shift and so on.

If you want to indicate that a day it is not operative (because for example it is Sunday and office is closed) you can click on Unassigned shift and switch off “Shift” option

In this way you will see no operative days as No shift

 


Obviously, if rotations are used, the related shifts must be assigned manually from the scheduling section to insert the desired employees and to enable compliance with rotation schedule of following weeks thanks to provision function (described below).

Provision

From scheduling dashboard you can also do a Provision clicking on relative button, using Rotations created before.

This feature allows you to duplicate shifts created on a successive period (if from settings you entered 7 days as draft period, the provision will duplicate shifts on the next 7 days). This feature is useful if a company has particular constraints to respect, so that for example an employee cannot work two consecutive weeks on the same day, and using this provision system and rotations it’s possible to easily duplicate shifts while respecting employee rotation.

So you have to choose the dates on which do provision, selecting spot to work on, and inserting rotation offset: if this is 0, the week will be duplicated with the same rotation structure (the employee assigned on the first slot on rotation schedule will be on the first day of the new selected week).
If offset is e.g. 1 it will move the provision from first slot to the second one, so the employee placed on the second slot will be inserted on the first day of the new selected week.

Here an example to better understand:

With rotation offset 0 Alberto Verdi will be on 10/03 workshift, with rotation offset 1, Francesco Corvi will be on 10/03 workshift and so on.
